Terms & Conditions
Online Booking You will be required to pay in full, 100% in advance, for any treatments booked using our online service. Some treatments are only available for online booking. All other treatments can be booked by phone and we reserve the right to ask for a 50% deposit to secure your booking which may be paid over the telephone using your debit or credit card.
Your right to cancel
The following terms apply to all appointments made at The Hale Clinic. At least 24 hours notice is requested if you need to cancel or change your appointment. Otherwise the late cancellation costs as laid out below will be charged.
Cancellation or change of treatment times within 24 hours of your booking will incur a charge of 100% of the full treatment value, at the discretion of the Therapist. If you fail to show for the appointment, your treatment(s) will be charged at full cost. If part of a booking is cancelled or changed after arrival, the full cost of the treatment(s) as booked will remain payable upon departure. As we are unable to judge reasons for change, cancellation or non-arrival, patients are reminded that no exceptions to the above conditions will be made and that any booking made with The Hale Clinic (verbal or written) forms a legally binding contract.
How to cancel or change your appointment: Cancellations should be made by calling us on 020 7631 0156. If you have an email address registered with us, you will receive an email confirming your cancellation.
Gift vouchers
Gift Vouchers are non refundable and are valid for one year from the purchase date and will not be accepted after the expiry date. Vouchers may be used for services only at The Hale Clinic. Vouchers cannot be redeemed for cash, sold or transferred.
Late cancellation and "failure to show" terms as laid out above also apply to gift vouchers - which will be voided at the Clinic should you fail to give the required notice. Please check required notice periods based on the value of the booked treatment(s).
Our right to cancel
If a therapist is not available to carry out your treatments through circumstances beyond our control; we reserve the right to transfer the booking to an alternative therapist. In unusual circumstances we may need to cancel your booking. In the event that we cannot fulfil your appointment, we will contact you by telephone - where possible.
Refunds
We do not offer refunds for any completed services. However if you are in any way dissatisfied with any aspect of your experience, please contact our Head of Operations, Jonathan Weisfeld, on 020 7631 0156 or jonathan@haleclinic.com. We will try our utmost to resolve any problems.
Your file
You agree to keep your personal record held by the Clinic updated with your full contact details - which will enable us to contact you in the event of any change relating to your appointments. Where possible, please provide both landline and mobile telephone numbers.
Payment
All prices are inclusive of VAT (where applicable) at the current rates and are correct at the time of entering the information onto the system. The total cost of your booking is the price as set out on this website.
You confirm that the credit, debit card that is being used is yours. All credit/debit cardholders are subject to validation checks and authorisation by the card issuer.
For gift vouchers: If the issuer of your payment card refuses to or does not, for any reason, authorise payment to us, we will not be liable for any delay or non-delivery.
Some therapists only accept cheques or cash and do not accept credit/debit cards.
Provision of Service of our website
This Website is provided free of charge on an "as is" basis. You will not require a password to access it. However, you will require a password for the online booking facility. To register for this facility, please click here (insert link)
Unsolicited Communication
We will not transmit to you any unsolicited communication whether by electronic mail or any other means unless you have expressly agreed to receiving such communication at the time of making an appointment. You may also opt-out of receiving email communications from The Hale Clinic at any later time.
Site Security
At The Hale Clinic Group we are extremely aware of the importance of privacy and security throughout our Website and our Database. We issue passwords only to bona fide health professionals and authorised staff members. We check all applications for authenticity and periodic spot checks are made. Access to our Database is by password only. The site and data are hosted on our own servers. No unauthorised person has access to the machines or the software.
Third Party Communication
Your personal information will not be given or sold to any third parties for use in direct mail or any other activities, other than to selected third parties providing specialist administrative services to The Hale Clinic Group, acting as agents on our behalf and with no rights to use your email address for any purpose whatsoever except on our behalf as allowed under these Terms and Conditions. Other user details may only be made available to third parties for certain specified purposes, in accordance with our Data Protection Act 1998 registration and you will always be given the opportunity to prevent The Hale Clinic from sharing any personally identifiable data about your use of the Website with third parties.
Privacy of Your Personal Data
The Hale Clinic is the data processor of your personal details for the purposes of the Data Protection Act 1998. The therapist providing you the treatment is the data controller. We may collect the following types of information about you, on behalf of our therapists:
- information you provide at registration or by subsequently changing your registered detailed
- details of your visits to the site and treatments that are provided to you.
These personal details may be used by us to:
- administer our patient records
- make available to you educational and promotional information that may interest you
- notify you about changes to our service.
Our internal working practices also ensure your privacy is protected by limiting employee access to the data.
Your Obligations
- The information that you supply to us for the purpose of registration is true and correct.
- To provide at least 24 hours notice of any change or cancellation to an existing booking otherwise you may be subject to a cancellation fee, at the discretion of the therapist.
- You are permitted to print or download some of the material or information displayed on the Website for your personal use, but you may not republish any substantial part of the data in any form without our prior written permission. You acknowledge that the printing or downloading of some of the sections of the Website is strictly prohibited and you are referred to the individual copyright statements displayed on such sections.
- Your postings to the Website and communications with other users will not infringe any third parties' copyright or other intellectual property rights.
Right to Amend These Terms
We reserve the right to add to and change the terms of this agreement at any time.
Disclaimer
We do not act as agents for and can give no assurances with regard to the persons, companies and other organisations whose goods and services are displayed or referred to on the Website, nor with regard to the availability, suitability, fitness for purpose or prices of such goods or services. We do not endorse or recommend any of these goods or services and no liability is accepted by us in this respect.
The Hale Clinic has made all reasonable efforts to ensure that the contents of this website are true and accurate in all material respects
The Hale Clinic shall not be liable for any loss or damage howsoever arising in connection with the content of the website. The Hale Clinic does not guarantee that the website will be error-free, omission-free, uninterrupted or without delay.
Whilst The Hale Clinic makes all reasonable attempts to exclude viruses from the website, we cannot guarantee that the website will be virus free and accept no liability in the unlikely event that the website is not virus free.
